Okamura has continued to collect basic layout data for well-designed offices (companies that qualify for the Nikkei New Office Award*), which provide benchmarks for office design. In this issue, we introduce data that we can reference when setting benchmarks for office design, such as how much space should be allotted per employee, or how many meeting rooms are necessary.

Regarding the shape of the desk top, bench desks are the most popular, accounting for about 70% (Fig. 5, top). Bench desks make it easier to adjust to fluctuations in the number of users, compared to single desks that are joined together. We found that desk top widths of 1,001 to 1,200 mm per person accounted for about 40%, and those from 1,201 to 1,400 mm for about 30%, with the range of 1,001 to 1,400 mm thereby accounting for around 70% of the total (Fig. 5, bottom).
File meters [fm] indicate the height in meters when all documents are stacked together, and provides a basis for calculating the optimal storage capacity per person. The average across all industries in 2020 was 2.5fm and data showed less variation between industries than previous years due to the decline of paper documentation.
The numbers in Figure 6 are calculated from the area occupied by cabinets in working areas. Under- desk storage spaces such as carts and cabinets, as well as documents stored in warehouses and library stacks outside the working area, are not included in the calculations.
There are two important points when readying an appropriate number of spaces reserved for meetings, including conference rooms and meeting spaces.
The first is to include different sizes, taking into account worker activities. The number of employees and the number of meeting places installed by size show a correlation as in Fig. 7. For example, in the case of an office with 1,000 employees, the number of small-sized meeting spaces that will be needed is 0.044 x 1,000 = 44.
The second is to distinguish between conference rooms and open meeting spaces. These days, online meetings require prudence regarding sound and visuals, making small-sized conference rooms indispensable. In the above example, of the 44 small-sized meeting spaces, about 5 (13.1%) of them should be conference rooms (Fig. 8).
